At Glossy Fox, your privacy matters to us. This policy explains what information we collect, how we use it, and how we keep it safe.

This policy is designed to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). If changes to the law require us to update this policy, we will do so.

 

What we collect

When you book or visit us, we may collect:

• Your name, phone number, and email address

• Appointment details (such as services booked and preferences)

• Payment details (through Square for deposits or EFT in person)

• Treatment records (including products used and any notes on nail health or preferences)

• Signed terms & conditions forms

• Instagram handles, but only if you’ve given us permission to use them for tagging in content

 

How we use your information

We use your information to:

• Manage bookings and payments

• Provide and keep a record of your treatments

• Contact you about your appointments

• With your consent, share photos of your nails on Instagram and tag you

• In the future, send you updates, offers, or newsletters (you’ll always be able to opt out)

 

Where your information is stored

• Most booking and payment information is stored securely through Squarespace (our booking system) and Square (our payment processor).

• We also keep signed terms & conditions and treatment notes in paper form, stored securely.

 

Sharing your information

We do not sell or rent your information. We only share it:

• With Squarespace and Square, who help us provide booking and payment services

• On Instagram, but only if you’ve given consent for us to use and tag your handle

 

Keeping your information safe

We take reasonable steps to protect your personal information from loss, misuse, or unauthorised access.

 

How long we keep your information

We keep treatment notes and records for as long as needed to provide services and for legal or business purposes. When no longer required, we securely destroy or delete them.

 

Your rights

Under the Privacy Act, you have the right to:

• Ask for a copy of the information we hold about you

• Ask us to correct your details if they’re wrong

• Ask us to delete your information where possible. We may not always be able to delete information if we need to keep it for legal, business, or safety reasons, but we’ll let you know if that’s the case

• Withdraw your consent for us to use your Instagram handle or photos at any time

Data breaches

We take data protection seriously. If personal information is involved in a data breach that is likely to cause serious harm, we will:

• Investigate the situation promptly

• Notify you as soon as possible with details of the breach and the steps you can take

• Notify the Office of the Australian Information Commissioner, as required by the Privacy Act
